How tuition works

Before you request a class, understand who approves it, how time is recorded and when payment is recognised.

Operational terms proposed ยท confirm class details before starting

1. Adults manage enrolment and payment

Parents and guardians create child display-name profiles with a grade. A student can use a guardian-issued one-use link for limited access to their own timetable, meeting and assignments. This link expires after 24 hours if unused; a redeemed student session lasts up to 24 hours. Guardians can revoke the child's tuition access.

Students cannot approve charges, see siblings' records or manage a class. Teacher applications require manual review before teaching access. An approved profile is an administrative decision, not a claim of professional certification.

2. Class details are confirmed first

An approved class specifies the teacher, grade, subject, capacity and price per student. A guardian requests enrolment for a child in the same grade. Approval depends on capacity and schedule availability. Scheduling uses UTC internally; your workspace displays times in your device's time zone.

Monthly classes have a maximum of six students and a 480-minute package limited to eight sessions and designed as eight 60-minute sessions. The verified payment record sets a finite monthly start and expiry. A package is requested explicitly; there is no automatic renewal or automatic overage purchase. Class availability and remaining credit still apply.

3. Attendance is reviewed before it is billed

After an elapsed session, the teacher records its delivered duration and each learner's attended minutes. The guardian confirms or disputes those minutes. An administrator reviews confirmed attendance before an hourly invoice is created or monthly minutes are consumed. Joining a meeting does not automatically record attendance or prove learning.

Zero attended minutes can be recorded. If a record is disputed, use the note to explain the correction needed. Teachers may revise disputed records, after which confirmation is required again. Keep feedback factual and avoid sensitive personal information.

4. Cancellations, absence and changes

The proposed approach is to notify the teacher or administrator as early as possible, record the reason and agree any replacement before booking it. Cancelling a session removes its future meeting access. Already billed or credited records require administrative review and cannot simply be cancelled in the timetable.

No fixed cancellation fee, refund percentage or guaranteed make-up entitlement is declared here. The operator must confirm the applicable class agreement and any required statutory terms before accepting a paid booking. A replacement session must not duplicate a charge for the same delivered learning time.

5. Invoices and verified receipts

A requested monthly plan creates an unpaid invoice. A verified recorded payment can activate its finite monthly entitlement. An hourly invoice follows reviewed attended minutes at the class's recorded rate. Existing class prices are preserved if proposed plan prices later change.

Online checkout is available only when a valid payment integration is configured. There is no automatic payment or recurring debit. A payment request or screenshot is not a receipt: receipts are issued from verified recorded payments. Do not send money to bank details supplied by an unverified message.

6. Private external meetings

Zoom and Google Meet links are private to eligible enrolled learners and the teacher, released in the permitted session window. A monthly learner also needs active paid credit. The meeting opens on the external provider; camera, microphone, recording, waiting-room and host controls are managed there. HelioLearn does not provide an embedded call or promise a meeting recording.

Guardians should supervise children as appropriate. Do not post meeting links publicly or share access tokens. Recording and any use of a child's image require the operator to establish appropriate permissions separately.

7. Practice, feedback and personal information

The workspace stores necessary account, child display-name, grade, enrolment, session, text-assignment, attendance and billing records. Teachers see records needed for their classes; guardians see their family; student access is limited to one child. Avoid identity documents, health details, addresses and other sensitive information in practice responses.

Assignments are text submissions in this release. Practical work can be described with an observation or explanation; there is no file upload or automatic verification of a physical task. Teacher feedback supports the next learning step. Attendance, animation views and quiz scores alone do not certify mastery.
